How to Add or Remove Licenses
Each client in your platform occupies a single license; here's how to add licenses to your platform or remove clients to free up licenses.
Licenses
When you sign up for Botkeeper, you choose a number of clients you'd like to be able to add to the platform. Each client you add constitutes one license, and is deducted from your total of available licenses.
We strongly suggest having at least a few additional licenses free and available to you for easy expansion, but if you find yourself with all your licenses occupied, we can help you add more.
Adjusting available license numbers from within the platform
- From anywhere in the platform, click the plus symbol in the upper right hand corner of the screen.
- Select Add Client.
- At the top of the Add Client window, you'll see how many licenses you're using out of the number you have. Next to this, you'll see an Add More button. Click this, regardless of whether you need to add or reduce your number of licenses.
- Fill in the information for the ticket that pops up. The Billing Inquiry Type will be preset to Upgrade Plan. You can leave this if you are adding licenses, or change it to Downgrade Plan if you need fewer licenses available.
- In the Ticket Description, state whether you need more or fewer licenses, and the number in question. For example, "I'd like to add 10 licenses," or "We're not using all our licenses and would like to remove 5."
- Click Submit, and someone will reach out to you!
Alternatively, you can click here to be taken to the ticket. From this link, no information will be pre-populated aside from the Category. You'll need to select whether you are upgrading or downgrading your plan from the Billing Inquiry Type.
Note that you can also free up available licenses by terminating clients from your platform. Any terminated client’s data will be available until the end of the month of termination, and will be completely deleted from our system 90 days from the date of termination.
In case you want to reactivate a client, you must do so within 90 days of their date of termination.
If the number of licenses you're removing exceeds the number of available licenses you have, you will be unable to support all your clients already in the platform, and will need to decide which you are terminating.
