If you ever need to edit a transaction out of the GL, we've made it simple!

If you ever need to edit a transaction out of the GL, we've made it simple!

You can now:

  • Add or edit check numbers, which will sync back to your GL automatically
  • Indicate if a transaction is billable (QBO only)
  • Track the customer and project if enabled in your general ledger.

To edit an individual transaction, follow the steps below:

  1. Click the action menu (ellipses) to the far right of the transaction you wish to perform the action(s) on.
  2. Select “edit” from the pop-up menu
  3. Fill in the desired fields.

When editing a bank feed transaction, users have the option to save their changes and add them to the general ledger at the same time. This is done using the “Save Changes & Add to GL” button in the lower right of the “Edit Transaction” pop-up screen.

You may need to RESET the transaction before editing. Once the reset is complete, you can then take additional actions, such as: edit, match or exclude.

Editing transactions from the Open Inquiries Tab

To edit a transaction on the Open Inquiries tab, click the “Action” button and then the “Edit” button via the menu.

This will open a modal that will allow you to edit additional transaction details, such as: memo/description and class. 

 

To split the transaction by class or category, click “Add Row” on the left side under the transaction you’re editing.

Note: You can split the amount of the transaction by percentage or amount.

 

Once done, click the “Save Changes” button to commit your edits to the client’s QuickBooks Online (QBO) or Xero account.

Add to GL and Mark Reviewed

Users have an option to simultaneously add a transaction to the general ledger and mark it reviewed. This can be done by clicking the Action (...) button to the far right of a single transaction and selecting "Add to GL & Mark Reviewed..." Users may also select multiple transactions by checking their boxes to the far left of each transaction, then use the “Other Actions” drop-down to mark them all as reviewed and add them all to the general ledger at the same time.

Adding a transaction to the GL while leaving it on the “Open Inquiries” tab 

Uncategorized transactions can now be moved to the GL without being “reviewed,” keeping them on the “Open Inquiries” tab where they can be updated with late-arriving information.

How does it work?

Click the action menu (ellipses) to the far right of the transaction in question, and select “Add to GL.” The transaction will now be reflected in the GL, but remain on the “Open Inquiries” tab awaiting further information.

 

When batch editing multiple transactions, some of the above options are NOT available

Batch Editing transactions:

If there are multiple transactions that need to be edited the same way, you can bulk edit on the “Open Inquiries” tab.

How to batch edit transaction details for multiple transactions:

Navigate to the Transactions section in BOS, check the box to the far right of each transaction requiring editing, and and click the “Edit Transactions” button.

This will open a pop-up that will allow you to edit additional transaction details, such as: Category, Class, Payee, Assignee.

 

Once you select an option from the drop-down menu, click the “Save Changes” button to commit your edits to the client’s QuickBooks Online (QBO) or Xero account. You can also click the “Save And Mark Reviewed” button to commit the changes and push the transaction to the Processed tab.

Batch Editing: "Other" Actions

Users can now select multiple transactions at once and click the “Other Actions” drop-down to:

Reset Transactions: 

Under the “Open Inquiries” tab, remove general ledger (GL) transaction(s) from the general ledger and change their indicator(s) to Bank Feed (BF), allowing them to be excluded from or added to the GL as needed. 

Under the “Processed” tab, moves transaction(s) from the “processed” tab back to the “Open Inquiries” tab. If the transaction(s) had a purple GL indicator, it/they will be removed from the general ledger, and will now show up in the “Open Inquiries” tab with a blue bank feed (BF) indicator.

Exclude Transactions: 

Under the “Open Inquiries” tab, excludes the BF transaction(s) from the general ledger.

Add Transactions to GL:

Under the “Open Inquiries” tab, adds the transaction(s) to the general ledger and changes the transactions’ indicator to GL. This also moves the transactions to the “Processed” tab.

How does it work?

  • Click the inline checkboxes to the left of the transaction(s) you want to reset, add, or exclude.
  • Click the “Other Actions” drop-down button at the top right of the transactions table.
  • Select the action you wish to apply to all the selected transactions.
