As a newly formed firm whose original mission was to offer controller and CFO services, JHR found themselves in search of a bookkeeping solution for two of their clients. After exploring outsourcing, which proved to be an inadequate solution, they had to find a replacement to give their controllers back more time to focus on high-value services.

JHR BRINGS ON BOTKEEPER AND TARGETS 100% GROWTH

Evan Paris founded JHR in 2020 with a vision to create a highly efficient firm to focus on creating customized solutions for its clients. The firm’s focus would be on CFO and controller services, but soon, he realized that some of his clients would also need bookkeeping support. After helping two of his clients with bookkeeping, Evan would soon see that the economics of having his controllers do the bookkeeping work would not add up.

JHR Consulting, LLC, was founded by Evan Paris in April 2020. He started the firm with a single mission: to be the most successful and creative finance consulting firm in Atlanta. His firm approaches each of its clients with fresh eyes to develop customized, unique solutions. The JHR team values themselves as being a high-touch firm, offering CFO and controller services in addition to traditional bookkeeping. 

“The ideal scenario would be me as CFO, a financial analyst to do projections and forecasting, two controllers to do the blocking and tackling day-to-day for our clients, and then one staff person. This staff person in most firms would be a bookkeeper, but this person’s position would be to grow into a controller. I don’t need a bookkeeper now that I have Botkeeper. They are eliminating my need to bring on three bookkeepers, a savings of $180,000 in salaries per year! I am so glad to have found Botkeeper,” Evan said.

Prior to starting JHR, Evan was a VP of Finance. He had worked to help his former employer streamline its bookkeeping process to free up their controller’s time and eliminate the pains of basic bookkeeping tasks. His solution involved an outsourced firm, which created a 66% increase in their efficiency levels and an immense increase in bandwidth to focus on higher-value responsibilities. This opened Evan’s eyes to how he could leverage lower-level resources at a lower cost. He decided to form his own firm; JHR was born.

After launching his firm, he soon realized that his vision of only offering CFO and controller services would not fulfill all of his client’s needs; he would also need to support bookkeeping. After helping two clients with their bookkeeping needs, Evan began to struggle with the economics and value-add his firm was providing on the bookkeeping side.

“My natural self is always trying to think down the road and make strategic decisions that will set me and my firm up for success,” Evan said. “I was examining the economics of our bookkeeping with just two clients...I wasn’t seeing the value that we were adding as a company by just doing the transactional work for our two bookkeeping clients. I have highly skilled people that have a bunch of years of experience, and having them enter in payables and categorizing transactions most of their day just didn't make sense to me.”

To help provide more capacity, Evan decided to outsource JHR’s bookkeeping work to a firm in India. Soon he realized that between training, time differences, and inconsistencies, outsourcing would not be the right long-term solution for his firm.

“I initially started outsourcing to India,” Evan said. “While the resources they provided were good, I was still struggling with the cost versus benefit. The amount of training was burdensome on me. As consistent as the person was who was working on my clients’ books, there was always some inconsistency. I was spending a lot of time trying to bring them up to speed, taking at least 10 hours a week, and then I would have to do a lot of maintenance on my side. The 13-hour time difference also was a problem, even though they would try to work our U.S. hours. It was very frustrating because it was taking up time that I could otherwise be spending on higher-value areas for my clients.”

Frustrated with outsourcing, Evan received an email about an upcoming webinar for an AI bookkeeping solution, Botkeeper.

“I am always a big proponent of finding operating systems that leverage IT to make people's jobs more efficient,” Evan said. “I saw an email come in about a webinar Botkeeper was hosting. When I realized they were leveraging a combination of Artificial Intelligence and a human team for bookkeeping, I thought ‘Hey, you know, that's pretty cool.’ I think I was a bit of an unusual case for a Botkeeper client in the respect that I came right at the beginning when I had just two bookkeeping clients.”

The concept of using AI-powered bookkeeping was foreign to Evan — until he saw it in action.

“When I first met with Botkeeper I couldn't really wrap my head around exactly what the service offerings were going to be,” Evan said. “I was struggling with how the AI component fit in with bookkeeping. How could it do the bookkeeping? Certainly, it can’t be all bookkeeping. Well, lo and behold, Botkeeeper does actually mean they can handle all of the transactional bookkeeping. I saw Botkeeper as the all-encompassing service I had been looking for. I signed on the dotted line, and the rest is history.”

 

Two Different JHR Clients Test the Power of Botkeeper

To begin onboarding their clients, JHR decided to bring on a technology client whom they felt would easily welcome an AI solution. 

“We started onboarding to Botkeeper with one client, who was actually JHR’s first client,” Evan said. “I explained that Botkeeper used artificial intelligence to get the bookkeeping done and that with Botkeeper, I would be able to take their existing bookkeeper and elevate her to a controller position. This would offer my firm the ability to provide more value for their business. It was seamless where we left off and Botkeeper stepped in. Having the controller at JHR step up also took a big workload off of me, saving us 8 hours of bookkeeping work per week. Now she is able to spend the same amount of time on the client but using her time in high-value buckets.” 

Next, JHR decided to bring on a smaller client to the Botkeeper Platform.

"Botkeeper is closing and reconciling the books, doing some journal entries, payroll reconciliation, and payroll categorization. This takes a big load off our plate, and we get our clients closed by Botkeeper in 10 calendar days, and then it takes us just two to three business days to finalize the close and present to our client,” Evan said.

“The next round of onboarding was for a very small client,” Evan said. “They are a kind of a friend-of-the-family type client. It was an easy transition because they had a very low transaction volume. Most of the issues they were facing were around improper reporting and inaccurate data issues. By bringing on Botkeeper, JHR saved 4 hours of bookkeeping work per week for this client, and I was able to shift our controller’s focus to these issues they were facing. This was a huge value-add for me to actually be able to help their business. This was a pivotal point where I made the decision that we were going to be fully moving off onshoring and we're going to step into Botkeeper.”

As Evan got more comfortable with Botkeeper, he started to see how his Botkeeper Growth Partner would alleviate stress. 

“With any solution, you're entrusting our client’s information to someone new,” Evan said. “When we first onboarded clients to Botkeeper, I felt like I needed to make sure I was staying on top of things to ensure they were flowing the way that I would expect. JHR Is a Different Firm With Botkeeper

After 2 clients were onboarded to Botkeeper for bookkeeping work, JHR made a decision to bring all new clients with bookkeeping needs onto the Botkeeper platform. They’ve since reconfigured their pricing to accommodate having Botkeeper as part of their team and are seeing an 80% reduction in the time spent performing bookkeeping work for new clients. In particular, JHR relies on the Botkeeper Scoping Tool to easily pull in client information to evaluate if they’re a good fit for the firm.

“Now when we bring on a new client, if they need bookkeeping we bring them right on to Botkeeper,” Evan said. “Botkeeper allows me to take what I would charge a bookkeeping client and charge them a lower rate since I don’t have to have a controller or a CFO perform the work. This then allows me and my team to focus on being in that controller position, effectively being able to charge an hourly rate of around $160 to $170 for this higher-level work. In the end, Botkeeper is saving my team about 80% of the time per week we would have spent doing the bookkeeping for new clients. I am also now using the Botkeeper Scoping Tool to make sure I am scoping out proposals correctly, even for non-Botkeeper clients. You simply initiate the tool and pick which client you want to scope from QBO, and it does the majority of the work for you. It saves me at least 30 minutes per client!”

Botkeeper is now taking care of the timely cash and accrual basis accounting JHR performed for their clients.

“The Botkeeper team is very responsive and consistent,” Evan said. “They have been great to work with! No one is 100% consistent, and I feel you are very lucky to get 80% consistency, but I would probably put Botkeeper north of 90%. I actually don't remember the last time I said anything to my Growth Partner Kori that something went wrong. I mean, it's been at least a few months, but when something is wrong or something unexpected happens, it is Kori who addresses it with me first. Kori has us down at this point.”

“In addition to staying on top of the day-to-day transactions as they're coming in from the banks, Botkeeper is also performing the accounts payable side of things,” Evan said.

“We have two clients who are on a cash basis, so as they receive cash, it needs to get categorized based on what line of business it relates to. The JHR team has been forwarding the remittance docs and original bills that show the line of business directly to Botkeeper. Botkeeper then categorizes these 100’s of receipts for us! For our accrual clients, we forward the actual remittance information as we receive paper checks to Botkeeper. Botkeeper then figures out where to apply the deposits. They are doing AP, AR, and bank reconciliations of categorizations. And then at the end of the month, Botkeeper is closing and reconciling the books, doing some journal entries, payroll reconciliation, and payroll categorization. This takes a big load off our plate, and we get our clients closed by Botkeeper in 10 calendar days, and then it takes us just two to three business days to finalize the close and present to our client!”

Botkeeper has empowered JHR to shift its bookkeeping business model from a traditional bookkeeping strategy to an outsourced finance department.

“Having Botkeeper has allowed my staff to move away from supporting our clients with their traditional bookkeeping work,” Evan said. “We no longer spend the first two weeks of the month closing the books, taking time away from CFO and controller services we want to be focusing on. This has allowed us to focus that time we have been given back by Botkeeper onto other things such as payroll, dealing with vendors, answering client questions, and operations. We get to stay on top of things and truly be an outsourced finance department for our clients.”

 

Time Savings & Consistent Results

JHR leveraged Bill.com with Botkeeper and saw a savings of 20 hours per month on accounts payable on just their first five clients.

“All our QBO and Xero clients are being put on Bill.com,” Evan said. “What I am seeing is that my controllers will spend some time doing the bill processing initially, but after a couple of weeks, Botkeeper is onboarded, and then they are fully taking care of the transactions. My controllers have their time back and are focusing on adding value in other areas. On the AP side, after the first couple of weeks of us learning the ropes, things just start flowing with the Botkeeper team in there. We are processing the initial intake of invoices, checking to see if there's already been a duplicate, and Botkeeper handles the rest. We are saving 20 hours per month on accounts payable alone for five clients.”

JHR’s partnership with Botkeeper has brought responsiveness and consistency.

“The Botkeeper team is very responsive and consistent,” Evan said. “They have been great to work with! “With seven clients currently using JHR services, my goal is to double our client base to 15 by the end of 2022,” Evan said. “I want to continue to onboard our clients who need bookkeeping services onto Botkeeper. I have already received four leads from it!”

What does future staffing look like for JHR? There’s no definitive answer, but you can bet there will be zero bookkeepers.
