Cancellation of Sponsorship

Sponsorship is secured on a first-come basis. Cancellation of sponsorship is fully refundable if submitted in writing at least 60 calendar days prior to the event. Cancellations submitted in writing 59-30 days will receive a 50 percent refund. Cancellations less than 30 days prior to the event will not be eligible for a refund.

Cancellation of Events

Botkeeper reserves the right to cancel or reschedule an event at any time. Should this occur, Botkeeper will not be held responsible for any expenses incurred by the sponsor. Should Botkeeper cancel, funds will be refunded in full.

Staffing & Badges

Sponsors must provide Botkeeper with the name(s) of the representative(s) who will attend the event. Botkeeper will provide each event representative with an appropriate Unchained conference badge. This badge must be worn at all times during the event and at evening socials.

Indemnification

The sponsor agrees to indemnify and hold harmless Botkeeper, the host facility, and their employees or representatives against any and all liabilities for damage, injury or loss to any and all persons.

Standard Booth Package

Your sponsorship package may include either an 8-foot or 10-foot space with table, 2 chairs, 24-inch monitor, electricity, Wi-Fi and a wastebasket.

Security

The meeting areas will not be locked when not in use. Sponsors are encouraged to either remove or secure items from the meeting space at the close of each event day. Botkeeper and the hostfacility will not be held liable for any damage to, or disappearance of, any property held at the booth.

Booth Hours

Booths can be open during breakfast, morning and afternoon break, lunch, and 30 minutes after the last session ends. Once Event sessions begin, discussions should end and participants should be encouraged to return to their sessions. We ask that all sponsors adhere to the indicated booth hours set forth by Botkeeper.

Care of Facilities

Sponsors must not deface the walls or floors of the meeting site. If such damage occurs, the sponsor will be liable to the property owner.

Booth Set-Up and Tear Down

Sponsors are responsible for setting up and tearing down their booths during the established time periods. No assistance will be provided by Botkeeper. Sponsors are expected to keep their booth clean and free of debris. Instructions will be sent to the sponsor two weeks prior to the event.

Shipping

All costs associated with the shipping and storage of event material are the responsibility of the sponsor. Shipping instructions will be sent to the sponsor four weeks prior to the event. It is the sponsor’s responsibility to pack up all boxes for shipping and arrange a scheduled pick-up. Botkeeper is not liable for any lost or damaged packages.
