How do I safely provide Botkeeper login credentials to my client's accounts?
Botkeeper's Password Manager provides you and your clients with one central location to safely and securely store their credentials within their Botkeeper Client Portal. With a click of the button, your firm can share credentials with Botkeeper to be anonymously credentialed into their 3rd party applications. Password Manager also allows the Botkeeper Accounting team the ability to log into these applications and extract the needed details right from their source locations, without causing any disruption to your firm or client experience throughout the month.

Can I upload receipts and documents to Botkeeper?
Botkeeper understands that some customers are hesitant to invite outsiders into their 3rd party applications, which is why Botkeeper provides Scanbot. Scanbot utilizes OCR technology to read and transfer data from electronic images to automatically place the relevant details in your client's books. Electronic receipts, POS reports, 3rd party invoices, and even unpaid vendor bills are all supported by Scanbot.

How do I connect my client's financial institutions to Botkeeper?
Botkeeper handles the data collection from your clients’ financial institutions so Botkeeper is not reliant on your client or your firm in sharing copies of the necessary bank and credit card statements at month-end. Botkeeper’s Smart Connect feature creates a direct connection between your clients’ financial institutions and their Botkeeper Client Portal.
STEP 2: AUTOMATION
After all the data has been retrieved and entered into your client’s general ledger, Botkeeper begins to process all of the uncategorized transactions, running them through a machine learning model to get them automatically categorized, using our Transaction Manager feature.

How does Botkeeper's Machine Learning learn over time?
Botkeeper's machine learning model is able to apply logic based on what it has “learned” by looking at your client’s unique historical data, as well as millions of other data points from our Botkeeper client base. Our model is in non-stop ‘education’ mode, using every new data point (such as but not limited to manual journal entries, other transactions running through your client’s bank feeds, and more), to become more accurate, and more powerful as we continue to work with your client’s data!

What happens if I am already using QBO Rules?
If you are already using the ‘Rules’ feature in QBO; Botkeeper's machine learning improves QBO’s existing functionality, acting as the reviewer for those transactions. This allows your team to fully reapply their time to higher-margin services - leaving the lower-level work to us.

What happens if Botkeeper's Machine Learning cannot categorize a transaction?
For those inevitable scenarios where transactions cannot be automatically categorized without clarification from you or your client, the Transaction Manager feature provides a streamlined process, serving up the hit list of only those exception transactions for you or your client to quickly categorize. Once approved it will sync back to your clients’ books, teaching the machine what to do in the future, and driving up accuracy over time (unlike the QBO Rules feature, which requires ongoing manual adjustments and heavier human management).
STEP 3: ADDITIONAL SERVICES
Botkeeper offers Additional Services to provide extra lift when supporting your accounting team. This ensures that they are able to concentrate on those higher-margin and valued services and not be bogged down by any of the low-level tasks that you are completing for your clients today.

What type of additional services does Botkeeper offer?
Botkeeper's additional services may include, but not be limited to managing and booking journal entries for Depreciation or Amortization schedules, all the way through to handling the 3rd Party POS sales entries into your client’s GL and reconciling back to the 3rd Party POS system and more.

STEP 4: VERIFICATION
Botkeeper takes great pride in being able to provide you and your clients with an ideal— scenario: machine learning and automation combined with human oversight- the best of both worlds. Here in step 4, the Botkeeper accounting team is focused on quality assurance, and Verification, to ensure that your client’s books remain clean, timely, and of course- accurate. Go ahead, take a sigh of relief! This is our opportunity to perform an overall review of the books; If something appears to be missing, or doesn’t quite line up, the Botkeeper Accounting team steps in to cross-check the details.

What happens if the Botkeeper Accounting team needs my input?
If Botkeeper needs your help, we’ll proactively schedule some time to meet with you for awareness and determine what the corrective actions are to get your client’s books back to running like a well-oiled machine!
STEP 5: MONTH-END
When the time comes, the data transfer process in step 1 makes the month-end highly efficient. Botkeeper will pull the month-end statements from your clients’ various financial institutions and complete the bank & credit card reconciliations directly in your client’s GL allowing your client’s books an accurate and on-time closing month-after-month.

What standard reports does Botkeeper extract from my client's GL?
Botkeeper extracts the standard reporting from your client’s GL, which consists of the Balance Sheet, Profit & Loss Statement, and Statement of Cash Flows.

Where does Botkeeper store my client's standard reports?
Your client's standard reports are uploaded directly into the Files feature within your Botkeeper Client Portal, making them easily accessible by you and your client. That’s right— you may never have to log in to your client’s GL again!!

What happens after the month-end?
With your client’s books complete, the Botkeeper process begins again, and we continue onto the next month.
